Full job description

Administrative Office Patient Communications Coordinator

Drive your strong administrative skills and vivacious personality into a stable industry that offers meaningful work, energizing relationships, a perfect FT/4-day work week, while mastering the coolest of technology!

No prior dental/medical industry experience required!

Quest Orthodontics, the highly reputable, private orthodontic practice of Dr. Arjun Patel and staff is seeking another delightful co-worker to add their smile and expertise to our group! What defines our practice? The people and our mission! We are a true team whose members share the value of doing our absolute best for each patient and parent that entrusts us with their care. Visiting frequently for braces adjustments, our patients become friends while we transform smiles!

Could this be the career you are seeking? Are you seeking fast-paced work that offers a positive, mental challenge? How about a career that appreciates your velvety verbal skills, allows you to provide warm hospitality and conversation with children and adults, keeps you busy all the time, utilizes the coolest technology, manages meticulous details, and works in a team-based setting? Did you just say “YES!” out loud? Then, let us tell you more about this extremely important team position that we refer to as our “Communications Coordinator”!

After training, what does a Communications Coordinator do? Our CC uses his or her leadership skills, communication, and administrative skills to begin each patient’s appointment with a genuine “welcome!” that elevates a typical hello to a light-hearted reunion, often including “catch up” conversation about fun events that occurred since the last visit or listening to your 8-year old new patient exuberantly share the news of their new puppy! Making the check-in process silky smooth, you’ll instruct newcomers on the digital check-in process or offer help to one of our “silver citizens” joining the practice to regain their youthful smile! If you are intrigued by people, appreciate diversity, and enjoy face-to-face exchanges discovering creative ways to make engagement a bit more meaningful, you’ll be joining a healthcare practice whose foundation is built on these values. The hours in the day fly by as you exercise your undeniable multi-taking talents to run reports, update registrations, respond to texts and emails, follow up on new patient inquiries, answer the phone, direct calls, answer questions, periodically schedule, and dish out authentic “Quest-Styled” hospitality.

How do new admin members of Quest Orthodontics learn the specifics of our industry? Easy answer! They are taught by our amazing team of dedicated staff. (In fact, the reason this position is open is reason to pop a champagne cork! Our popular practice is growing again!!) Over the early weeks of joining the practice, our new team member will be taught new materials layer by layer and catch on so fast… it’s bound to make you smile!

What are the qualifications to apply?

  • Desire to work a “permanent” 4 day / per week position; (Friday is OFF!)
  • Stable work history that required excellent customer service communication skills. We often communicate with parents who have little time and who can be stressed as they are stretched between their children’s activities. We are seeking someone who can be empathetic and kind, while also being the leader in the parent-staff relationship to guide the parent into office policies that make everyone’s day easier.
  • BA/BS or credits earned with particular studies in Communications, Healthcare Administration, Psychology, Business, Marketing, Public Relations, other related “people-centered” field.
  • Excellent verifiable references
  • Computer friendly- software savvy / fast, accurate, and detailed data entry
  • Strong multi-tasking skills
  • Initiative to study and quickly learn terminology, processes, and software that is industry specific
  • Prior experience in the healthcare field is valuable, but not required
